Photo sessions and distributed capture: a better way to collect staff ID photos

Photo Capture Workflow

Every organisation that issues ID cards eventually hits the same wall: collecting photos is a nightmare.

The traditional approach — lining everyone up in front of a camera — works when you have 30 people in one room. It falls apart when your staff are across multiple sites, work different shifts, or simply can’t make it on the day. You end up chasing headshots via email for weeks, matching them manually to a spreadsheet, and hoping the quality is good enough to print.

There’s a better way.

What’s a photo session?

A photo session in CaptrID is a structured capture event. You define who needs a photo, assign capturers to collect them, and track progress in real time.

Here’s how it works:

  1. Load your roster — import from CSV, sync from Microsoft Entra, or snapshot from your master list
  2. Assign capturers — give your staff the mobile app and assign them to the session
  3. Capture on-site — capturers photograph people using the app, with built-in quality checks (blur, brightness, face detection)
  4. Approve centrally — admins review submissions, approve or reject with structured feedback, and request retakes
  5. Export or issue — print-ready output, digital wallet IDs, or sync back to your master roster

The key difference: the session tracks who’s been captured, who hasn’t, and what needs a retake. No spreadsheet required.

Distributed capture across locations

The mobile app works offline. Capturers can photograph people at remote sites, community centres, job locations — anywhere with poor or no connectivity. Photos queue locally and sync when connectivity returns.

This means a single photo session can span multiple sites, multiple capturers, and multiple days without losing track of progress.

Quality checks at the point of capture

Every photo runs through validation before upload: blur detection, brightness analysis, face detection, and resolution checks. If something’s wrong, the capturer knows immediately — not three days later when someone tries to print a badge and the photo looks terrible.

Bulk approval that actually scales

When submissions come in, admins see a queue they can triage efficiently. Approve photos in bulk, flag exceptions, reject with a reason (so the capturer knows exactly what to fix), and track retakes automatically.

No more emailing back and forth about photo quality. The feedback loop is built into the workflow.

Why this matters

The real cost of ID photo collection isn’t the camera or the software — it’s the time your team spends coordinating, chasing, and fixing. A structured photo session eliminates that coordination overhead and gives you a repeatable process you can run every year.

Whether you’re running an annual photo day for 500 students or onboarding 20 new starters across three offices, the workflow is the same: load the roster, assign capturers, capture, approve, done.
