Common questions from schools

Can parents upload their child's photo themselves?
Yes. Send a self-upload link by email or SMS to the parent or carer. They snap a photo from any device, the system runs compliance checks (face detection, background, framing) and queues it for your approval. Reduces photo day absences and re-shoots significantly.
Will it sync with our Microsoft Entra ID tenant?
Yes. CaptrID has native Microsoft Entra ID sync on the Pro plan and above. Configure group filtering to pull staff and students separately, map any attribute (year level, campus, employee ID), and incremental sync keeps the roster current as enrolments change.
What about photo day on-site, with bad WiFi?
The mobile capture app works offline. Photos queue locally on the tablet or phone and upload automatically when connection returns. Useful for remote campuses, sports days, and excursions.
Can we bulk approve once photos are reviewed?
Yes. Filter your approval queue by year level, photographer, or session, and bulk approve in one action. Reject individual photos with structured reasons sent back to the parent or student to re-submit.
Can we switch mid-school-year from our existing tool?
Yes. Import your existing roster as CSV, upload your existing card art as a starting template, and reuse your existing card printer. Schools typically complete a switch in a single afternoon and keep printing the same week.
Where is the data hosted? Is it OK for government schools?
Your roster, photos, and credential records are hosted in Sydney (ap-southeast-2). A few supporting functions (payments, email, and wallet-pass delivery) use overseas providers listed in our privacy notice. Built for Australian Privacy Principles and data sovereignty requirements common to government schools, independent schools, and educational institutions. Audit log of every action retained for compliance.
